What information do I need to supply to my business manager to request a Guest ID?

To request a Guest ID, the sponsor needs to work with the business manager of their school, college, or division (S/C/D). The business manager can make the request via the business managers' group inside WSU Pipeline.

Guest IDs will expire at different times. The defaults are: E-mail only access will be for 90 days; instructors not being paid by WSU will be given access for the term they are teaching and the succeeding 21 days; and access to the enterprise systems will be for 30 days. Some other cases, such as employees of the University Physicians Group (UPG), may receive up to a year before expiration. If a specific expiration timeframe is needed, please note it according to point #4 below.

Once C&IT receives the request from the business manager the turnaround time is usually within three (3) business days, if not less.

If you are a sponsor requesting a Guest ID, please supply your business manager with the following information so they can properly fill out the request.
  1. Sponsor Information
    1. Your AccessID
    2. The purpose for the request (the academic, research, or business need, etc.)
  2. Guest Information
    1. Guest’s First Name (Enter the full first name)
    2. Guest’s Middle Name (Enter the full middle name)
    3. Guest’s Last Name (Enter the full last name, including any hyphenations)
    4. Guest’s Date of Birth (mm/dd/yy)
    5. Has the Guest had an AccessID before?
      • If “Yes,” list the AccessID (if known)
    6. Guest’s Employer or Organization
    7. Guest’s contact e-mail address
    8. Guest’s contact phone number
  3. Systems Information (note which one(s) the guest needs access to)
    1. E-mail
      1. E-mail Forwarding Only
      2. E-mail Account
    2. Academic Systems
      1. Blackboard
      2. Library Databases (EZ-Proxy)
        • Access to the restricted databases is not controlled by C&IT. Once the Guest ID is created the sponsor should contact the Dean of the WSU Library System and provide the research reason for the guest's access.
    3. Enterprise Systems
      1. Banner (including any Cognos or SMARTi access)
        • Banner access must be requested after the Guest ID is created. See this page for the request forms.
      2. STARS
        • STARS access is granted by the Office of the Registrar and must be requested after the Guest ID is created. See this page to request access.
  4. Expiration Timeframe
    1. Academic Term(s) Access is Needed
      • Note Fall, Winter, or Spring/Summer and of which year
    2. Date to Expire Access
      • This is for non-academic guest access (such as an auditor or contractor) or an academic guest who doesn't fit in the semester-based expiration above.
Once the Guest ID has been processed the sponsor and business manager will receive an e-mail with the pertinent information from a staff member at the C&IT Help Desk.  It is the sponsor's responsibility to relay this information to the guest.
